1. Who we are

QuantaMinds (“we”, “our”, “us”) provides custom software development services — including CRM, ERP, e-commerce, and web systems — primarily to small businesses and nonprofits. Our website is located at quantaminds.com and our contact email is hello@quanta-minds.com.

2. What data we collect

We collect information only when you actively provide it:

• Contact form. Name, company name, work email, phone number (optional), project type, budget range, and project description.
• Email correspondence. Any information you include when replying to our automated confirmation or follow-up emails.

We do not use cookies for tracking, advertising, or analytics. We use Plausible Analytics, a privacy-first, cookie-free analytics provider that does not collect personal data.

3. How we use your data

We use your contact information for:

• Responding to your inquiry and sending you a project proposal.
• Following up on open discussions about a potential engagement.
• Sending transactional emails related to an active project (invoices, milestone updates).

We will never sell, rent, or share your personal data with third parties for marketing purposes.

4. Data processors

To deliver our services, we share data with the following processors under appropriate data processing agreements:

• Resend — transactional email delivery (contact@resend.com).
• Anthropic — AI-assisted proposal generation. Only project-relevant details (no sensitive personal data) are sent to the API.
• OVH — VPS hosting for our server and database.
• Cloudflare Turnstile — bot protection on the contact form (privacy-preserving challenge with no cookie tracking).

5. Data retention

We retain lead and project data for as long as needed to manage our business relationship, or until you request deletion. Inactive inquiries (no project started) are purged after 24 months.

6. Your rights

You have the right to:

• Access the personal data we hold about you.
• Correct inaccurate or incomplete data.
• Delete your data (“right to be forgotten”).
• Object to processing for specific purposes.
• Portability — receive your data in a structured, machine-readable format.

7. Security

All data is transmitted over HTTPS. Our server enforces strict security headers (HSTS, CSP, X-Frame-Options) and rate limiting on all public-facing forms. Database access is restricted to authenticated internal systems on a private network.

8. Changes to this policy

We may update this policy occasionally. When we do, we will revise the “Last updated” date above. Continued use of our website after changes constitutes acceptance of the updated policy.
